Heartiest congratulation to the winners of the Star-Jobs Office Scenario Contest: |

One of our colleagues in the same team is very reluctant on taking more responsibilities. Whenever we have group projects, he will have all sorts of excuses/ reasons in pushing his work to other team members. Even when he is appointed as a project leader, he will just assign all the tasks to us without contributing anything. Furthermore, he is always absent or on leave whenever we have group meetings/discussions. This has caused frustration among other team members.
As a team member/colleague, what can I do to make him realise that he is part of the team and should take on the responsibilities that are assigned to him?

What you can do is to make him let him know the importance of his role in the team. Discuss with other team members to let him take on some role related with strict timelines. If he refuses to take responsibility, all other team members must not offer to help. He will eventually need to do the work himself.

First, I will explain to him that everyone in the team has his own role. Every member should contribute for the sake of the team. Even if he is the team leader, he has to set the direction for the whole team. After all, the outcome is what the team has achieved and he has a part in it too. If he still remains the same, I would consider reporting the matter to higher management so that action can be taken. There is no point including someone who is reluctant to co-operate into a team. He will only be a burden to the company if he is unwilling to work.

We cannot dispute his non-contribution to the tasks as he is the project leader and he can always claim that he is overlooking what we are doing. If he does not attend meetings/discussions, I will send him and my boss an e-mail stating "As you were away in the previous two meetings, perhaps we can sit down and discuss this together as the deadline is approaching".

I will ensure that all correspondence is copied to the boss. Put the boss in cc when an e-mail is sent out. For letters or reports, hand the boss a copy. Have minutes of meetings stating attendees and those who are absent. This will help the project leader to be more proactive when he sees that the boss is aware of all activities. This way, you save him the embarrassment of being confronted about his commitment to his work.

As a colleague, I will confront him and tell him that the team has noticed that he seems "distracted". I will try to ask if he is facing any problem which is affecting his ability to perform at work. I will try to understand his problems before jumping to the conclusion that he is not capable. If his reasons are solid and if he accepts/admits his faults, I think the team members should give him another chance, as this is what teambuilding is about. If he is defensive and is reluctant to change, the team members should discuss taking this matter to the management.
